Access denied: why contractors dread your maintenance portal

Most maintenance systems are designed for the head office that buys them. The engineers who actually fix the kit get another login, another app and the same job typed in twice. That friction ends up in your response times and on your invoices.

Key points

  • Many contractors re-key every job from a client's email or portal into their own job software, then log back into the client's portal to record the visit.
  • That double handling slows response, causes reference and invoice errors, and gets priced into what you pay.
  • A contractor-friendly system sends complete jobs, needs no paid login, captures the visit once on a phone and files certificates automatically.
  • The best contractors choose who they work for. Making their life easier is a competitive advantage for you.

The same job, in two systems

Follow a single breakdown from a contractor's side. A fault is raised in the client's maintenance system and arrives by email: store number, job reference, address, the time it was raised, the target response, and a line such as "coffee machine, faulty, not working".

Someone in the contractor's office then types all of that into their own job management software, because that is where they schedule engineers, order parts and raise invoices. The engineer attends, records the visit in their own app, and completes the job.

Then the second round starts. The engineer, or the office, logs into the client's portal to re-enter the arrival and departure times, the work notes and the completion. Parts are priced by hand and re-entered. A service certificate is uploaded separately into each client's platform. For a contractor with several clients on several systems, that is several portals, several logins and several versions of the same job.

Why clients insist on their own record

Operators have good reasons to want attendance in their own system: proof of who was on site for health and safety, arrival and departure times, and response times against the SLA. The problem is not the record. It is making the contractor create it twice.

Why it matters to you, not just them

  • Slower response. Jobs wait in an admin queue before they reach an engineer's schedule.
  • More errors. Every re-key is a chance to mistype a reference, a site or a time, which turns into invoice queries later.
  • Higher cost. Admin time is real cost, and contractors build it into their rates and call-out fees.
  • Weaker data. When the portal entry is a chore done at the end of the day, notes get shorter and times get rounded. Your KPIs are only as good as that data.
  • Harder to keep good contractors. Busy firms prioritise the clients who are easiest to work for.

What a contractor-friendly system looks like

  1. No paid login per engineer. Contractors should be able to work a job without the client buying them a seat.
  2. Complete jobs. Site address, access notes, site contact, the asset's make, model and serial number, photos, priority and target time, all in the job.
  3. Phone-first updates. Accept, on site, waiting for parts, complete, with notes and photos, from the engineer's phone.
  4. A trusted attendance record. Named engineer and timestamps captured at the time, so response and fix times are measured, not typed in later.
  5. Certificates uploaded once. The certificate goes on the job and files itself against the right asset and site.
  6. One reference everywhere. The client's job reference carried through to the contractor's purchase order and invoice.
  7. A link to the contractor's own software. Jobs land where the contractor already schedules work, instead of in another inbox to copy from.
Ask your contractors

Ask your three busiest contractors how many minutes of admin a single job on your current system costs them, and how many client portals they log into each week. The answers are usually eye-opening.

How Fabric does it

Fabric was built by people who service coffee machines and commercial kitchens, so the contractor side is not an afterthought. Contractors work each job from a secure link with everything they need, and need no login or licence. Firms that want one can use the free contractor portal: one inbox for jobs from every Fabric customer, with office and engineer logins. Certificates uploaded on a job file straight into the client's compliance records.

We are also connecting Fabric to contractors' own job management software, starting with ServiceM8, so jobs arrive where engineers are already scheduled. See Fabric for contractors and contractor management, or try Fabric free for 30 days.
