Property maintenance software

Property maintenance software for every site you run

Fabric looks after the building as well as the kit inside it. Leaking roofs, blocked drains, broken doors, failed lighting and plant on the roof all get the same treatment as the espresso machine: one job, one contractor, one history per site.

The problem

Buildings break in ways nobody owns

The roof leaks into the stockroom. The back door will not lock. The drain in the prep area backs up every month. Each one is reported to someone, fixed by someone else and forgotten until it happens again.

In a multi-site food and drink business, property maintenance tends to fall between people. Site managers deal with what is in front of them. The operations team deals with the kitchen kit because that stops trade. Landlord responsibilities are a grey area. Nobody keeps a complete record of what was done to the building, by whom, and what it cost.

Property maintenance software puts the building on the same footing as the equipment. Every site has a record of its fabric and services. Every fault is a job with an owner. Every repair, certificate and invoice is filed against the site, so the next person to ask knows the answer.

How Fabric works

One job history per property

The building as assets

Roof, drainage, doors and shutters, flooring, lighting, HVAC, water systems, fire alarm and emergency lighting, each with its own record and history.

Reactive repairs

Site teams report a fault with a photo. It is assigned to the right trade with an SLA, and followed to sign-off. See reactive maintenance.

Planned servicing

Gutter clearing, drain jetting, fire alarm tests, EICR, legionella and extract cleaning scheduled and raised before they fall due.

Compliance evidence

Certificates and reports filed against the site and asset, with expiry dates tracked, so the fire risk assessment or EICR is always to hand.

Trades and contractors

Roofers, drainage, electricians, locksmiths and shopfitters in one directory, with insurance and RAMS on file, dispatched by secure link.

Costs by site

Invoices matched to jobs, so you can see what each property costs to keep open and which ones need capital rather than repairs.

Landlord or tenant

Know whose problem it is before you call anyone

Leases split responsibility for the building between landlord and tenant, and the split is different at every site. Fabric lets you record who is responsible for each part of the building, so when the roof leaks the site manager can see at once whether to raise a job with your contractor or report it to the landlord.

Either way the fault is logged against the site. If the landlord’s repair drags on, you have the dates. If it turns out to be your responsibility after all, nothing has been lost.

  1. Fault reportedThe site manager logs it against the building with a photo.
  2. Responsibility checkedFabric shows whether it is yours or the landlord’s under the lease.
  3. Job raised or reportedYour contractor is dispatched, or the landlord is notified, from the same record.
  4. Closed outThe repair, certificate and cost are filed against the site.

Why it matters

What property maintenance software gives you

  • Fewer repeat call-outs for the same fault
  • Statutory compliance for the building, not just the kitchen
  • Clear evidence for landlord disputes and insurance claims
  • A fair picture of which sites cost the most to run
  • Capital decisions based on history rather than the loudest site manager

FAQs

Common questions

What is property maintenance software?

Property maintenance software records the maintenance work carried out on buildings and their services: reactive repairs, planned servicing, contractor assignment, compliance certificates and the costs of each job. For a multi-site operator it gives one history per property, so you can see what has been done, what is due and what it cost.

Does Fabric cover the building as well as equipment?

Yes. Fabric treats the building fabric, plant and services (roof, drainage, doors and shutters, lighting, HVAC, water, fire systems) as assets alongside the kitchen and front-of-house equipment. Jobs, contractors, certificates and invoices work the same way for all of them.

Can I use Fabric with a landlord’s or managing agent’s contractors?

Yes. Any contractor can be added, and a job can be sent to them by secure email link without a licence. Where the landlord is responsible for a repair, you can still log the fault in Fabric so the history is complete.

Does Fabric replace a managing agent?

It can. Fabric gives your own team the helpdesk, contractor directory and compliance tracking that a managing agent would otherwise provide, without the management fee. If you prefer to keep an agent, they can run their work for you in Fabric instead.

How much does Fabric cost?

Fabric Core is £79 per site per month, or £67 a month paid annually, with optional bolt-ons for planned maintenance, compliance, contractors and costs. Fabric Complete, with everything included, is £129 per site per month, excluding VAT. There are no per-user fees and no long contracts.
